Privacy policy
This policy explains what Eglinton Foot Clinic does with your personal information when you use this website, contact the clinic, or attend an appointment.
We are the data controller for that information. You can reach us at 26 Backhill Road, Eglinton BT47 3JR, on 078 4681 6825, or at eglintonpodclinic@outlook.com.
What we collect from this website
If you fill in the contact form we collect the name, phone number and email address you give us, the topic you select, and whatever you write in the message box.
Please don’t put detailed medical information in that message box. It reaches us by ordinary email, which is not a secure channel. If something is sensitive or urgent, call Kerry on 078 4681 6825 instead — the form itself says the same thing.
If you accept the cookie banner, a small tracking cookie is set so we can see which Facebook and Instagram ads bring people to this site. If you decline, or don’t answer, nothing beyond the essentials above is collected.
Why we are allowed to use it
For a website enquiry, our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)) — responding to someone who has asked us to get in touch — or taking steps at your request before entering into a contract (Article 6(1)(b)) where you are asking to book.
For your clinical records, we rely on Article 6(1)(b) and, because health information is special category data, Article 9(2)(h): the provision of health care and treatment by a regulated health professional bound by a duty of confidentiality.
Your clinical records
The notes taken during your appointments are separate from this website. They are kept confidentially by the clinic in line with professional obligations to the Health and Care Professions Council and the Royal College of Podiatry.
Who else handles your information
We use a small number of service providers who process data on our behalf:
- Cliniko — our online booking and practice management system. When you book an appointment you are handed over to Cliniko and the details you enter there are held by them on our behalf.
- Map My Mole — if you have a mole check, photographs of your moles and the details needed to produce your report are sent through the Map My Mole app to UK consultant dermatologists, who return a written report. This is health information, and we only send it with your agreement at the appointment. See mapmymole.com.
- Meta (Facebook/Instagram) — if you accept the cookie banner, the Meta Pixel tells us which of our ads led to a visit. This only runs after you accept; it never runs if you decline. See Meta’s privacy policy.
- Google Tag Manager — if you accept the cookie banner, we use this to manage the tracking tags on this site (currently just the Meta Pixel above) without changing the website’s code each time. It never runs if you decline. See Google’s privacy policy.
- Cloudflare — hosts this website and provides privacy-friendly visitor statistics. Cloudflare Web Analytics uses no cookies and does not fingerprint or track individual visitors.
- [TO CONFIRM: the contact form provider, once chosen — name it here and link its privacy policy]
We do not sell your information, and we do not share it for marketing.
Cookies and analytics
This site asks before it sets any cookie that isn’t strictly necessary. If you haven’t answered yet, you’ll see a banner at the bottom of the page.
- If you accept, we load Google Tag Manager and the Meta Pixel. Google Tag Manager sets cookies of its own and can, over time, add further tracking tools without a change to this page — if that happens we will update this section. The Meta Pixel sets a cookie (typically named
_fbp, and_fbcif you arrived from a Facebook or Instagram ad) so Meta can tell us which ad brought you here. - If you decline, or close the banner without choosing, neither loads and no advertising or analytics cookie beyond the essentials is set.
Separately, we use Cloudflare Web Analytics for overall visitor numbers. It is cookieless and doesn’t need your consent, which is why it isn’t part of the banner.
You can change your mind at any time by clearing this site’s cookies and local storage in your browser, which brings the banner back.
How long we keep it
Website enquiries are kept only as long as needed to deal with them and any follow-up, then deleted. [TO CONFIRM: retention period for enquiries, e.g. 12 months]
Clinical records are kept for [TO CONFIRM: clinical records retention period — check current Royal College of Podiatry and Department of Health (NI) guidance]
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to restrict or object to how we use it, and to receive it in a portable form. Some of these rights are limited where we have a legal or professional duty to keep clinical records.
To exercise any of these, contact the clinic using the details at the top of this page. We will respond within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right.
